ILM overview

Integrated Lending Management (ILM) is a system used bank-wide to track all commercial lending documentation and funding requests.

ILM stores all of the submitted requests in one organized and secure system, allowing users the ability to search through previously submitted request when needed.

Allows to see the status of all of your pending requests, including the latest comment and a list of missing items at any time of the day.

As you enter the loan request, ILM will use logic to determine what documents are needed to process your request and provide you with a list of specific requirements, unique to each loan.

Allows mangers seamless access and visibility to all documentation and funding requests within their departments at any given time.

ILM Accessibility

ILM is a web application which uses windows authentication for security & role based outhorization for providing access to the users.
Below are the list of predefined roles in the system, which provide granular access for a specific service.

LoanAdministrator

Documenter

Supervisor

SuperAdmin

LoanOfficer

TeamLead

Manager

Closer

Callback

TitleAnalyst

InternalAttorney

ReadOnly

As the ILM system is accessed by various level of officers in the loan department, each user will be assigned to a specific role as per their nature of work in the workflow.

Loan Request Process

Every loan request is processed through different stages listed below. In each stage, details related to it are captured.

Setup

Due Diligence

Doc Prep

Doc QC

Release

Funding Setup

Doc Review

Booking

Callback

Closing

Scanning

ILM - CCR (Commercial Credit Report) Integration

ILM is also integrated with CCR, a third party application where Credit approvals and other documentations are managed.

A loan request is linked with CCR in two ways. One of them is validating a CCR number against a request in ILM (in Loan Info tab) and another: an ILM request can be initiated (or submitted) through CCR application with the mandatory fields and after certain approvals.

When a loan request's stage/status is updated in ILM, system sends/syncs relevant updates to CCR Application. It uses a unique identifier called 'OpportunityId' to link with CCR.

Sending/retrieving of data in ILM to/from CCR uses the Restful API exposed by CCR application.

Loan Request Assignment Process

A Loan request can be assigned manually by Admins or automatically by the system.

System assignment uses logic to calculate workload on users based on various parameters like number of loan requests assigned, skill, and loan type. For each loan type there is a rank parameter which decides level of work.

Total workload score (also called as accumulated score) for each user is defined as below.
Accumulated Score (for each user) - Sum of Ranks for each Loan Type of Loan Request.
For eg: If a user is already assigned with 2 requests, one with Loan Type 'Commercial Real Estate' (Rank = 1) and 'Construction Loan' (Rank = 3), Then the total (1+3) workload score becomes 4.

If multiple users have same Accumulated score, then the skill (primary/secondary) is used, which is managed by Admins through "Manage Specialties" (Menu: Admin>Specialty Manager).

We have recently implemented another parameter (added to the assignment score logic) called workflow type, to filter out the users of specific workflow (or group), which is also managed by Admins through "Manage Specialties" (Menu: Admin>Specialty Manager).

Loan Request Workflows

We have recently implemented few workflows for the better management and assignment of loan requests. These workflows are determined by the system using certain parameters when the request transitions from 'Funding Setup' to 'Doc Review'

System assigns workflow 'Main' to a Loan Request if the request is previously completed a stage called 'Due Diligence' by user who is currently not on Leave( leaves are managed through Admin > Out of Office Manager), otherwise it falls back to different workflow called 'Other'. Below picture shows a sample workflow called 'Main'.
